Reports, drill-down and exports

Filters, period choices, drill-down, exports and reading operational versus official figures.

Filters

  • Lists — search box, tabs and one Filters button. Choose filters, press Apply, use Reset to clear. Filters and sort order are remembered on main lists; search text is not.
  • Finance reports — period presets (this month, quarter, year, last year, custom, all history), then Customize. Customize never changes a figure.
  • VAT screens — FTA tax periods only.

Drill-down

  • Statement account lines open the general ledger.
  • Ledger and journal rows open the source document.
  • Dashboard tiles and fleet bar segments open the matching list or calendar view.

Exports and printing

  • Excel and PDF on every finance report.
  • PDF and Print on invoices, credit notes, quotations, agreements and statements.
  • PDFs are A4 portrait with your company header and footer on every page and “Page X of Y”.
  • Full-history exports ask for confirmation first, and every export is recorded in the activity log.

Dashboards and charts

  • Main dashboard — quick actions, Fleet right now, Today’s list, money this month, and rentals and customers.
  • Finance Dashboard — ledger balances as of the period end, and income and expenses for the period.
  • Charts — rentals (7 / 30 days, month, quarter, year, 12 months) and revenue (3 / 6 / 12 / 24 months and year). If there is no data, the chart says so.

Reading the figures correctly

  • Reports marked Operational read documents directly. Official statements read the ledger. They can differ — for example because historical invoices were never posted, or because of the dates used.
  • Point-in-time figures (cash, receivables, payables) are “as of” a date. Flow figures (revenue, expenses) are for a period.
