Onboarding & data migration
Moving to VROOM, without losing the plot.
A planned move from spreadsheets or another system — with a clean ledger from day one and your history kept where you can still see it.
Discovery
We map how you rent today: fleet size, rental types, branches, brokers, investors, current systems and who does what.
Configuration
Branding and documents, roles and logins, VAT tax periods, the financial year, and your chart of accounts.
Data migration
Vehicles, customers and open agreements come across. Your accountant’s balances are entered as opening balances.
Integrations
E-mail first; then WhatsApp, Pilot GPS, the AI assistant and, once access is issued, RTA TARS or Darb.
Training
Role-based sessions for counter, fleet, accounts and management, using the VROOM handbook.
Go-live
Your team switches over, with a clear cut-off date agreed with your accountant.
How migration works
A clean ledger, with your history alongside it.
Records imported from your previous system are kept and labelled Historical / unverified. They are not posted to the new general ledger, so they cannot distort your new financial statements.
Instead, your accountant’s closing balances are entered through Opening Balances at an agreed cut-off date. From that date, every invoice, payment, approved expense and bill posts to the ledger as it happens.
Operational reports may show historical documents that the official statements do not. VROOM labels which is which, so nobody confuses the two.
What we usually bring across

- Open rental agreements and deposits held
- Opening balances agreed with your accountant
What we need from you
- Exports from your current system or spreadsheets
- Your VAT registration certificate (for tax periods)
- Logos and document details for branding
